User Roles Overview

Available Roles

Admin:

  • Full access to everything

  • Can manage billing

  • Can add/remove team members

  • Can delete sites

  • Can configure all settings

Editor:

  • Can configure widget settings

  • Can edit accessibility statements

  • Can view audit results

  • Cannot manage billing or team

Viewer:

  • Read-only access

  • View analytics and reports

  • Cannot make changes

  • Cannot view audit results

Billing Manager:

  • Access to billing only

  • Manage subscriptions

  • Update payment methods

  • Cannot access site configurations


Inviting Team Members

Step 1: Access Team Management

  1. Dashboard → Settings → Team Management

  2. Or Sites → [Site] → Team tab

  3. Click "Invite Team Member" button


Step 2: Enter Invitation Details

Form Fields:

Email Address:

  • Team member's email

  • They'll receive invitation link

Role:

  • Select from dropdown

  • Choose appropriate permission level

Access Level:

  • All sites (full account access)

  • Specific sites (limit to certain domains)

Optional Message:

  • Welcome message

  • Instructions or context

Step 3: Send Invitation

  1. Review details

  2. Click "Send Invitation"

  3. Email sent immediately

  4. Invitation valid for 7 days

Recipient Receives:

  • Email with invitation link

  • Explanation of role

  • Getting started instructions

  • Link to create account or login


Step 4: Team Member Accepts

Their Process:

  1. Click link in email

  2. Create account (if new user) or login (if existing)

  3. Accept invitation

  4. Dashboard access granted

  5. Permissions active immediately

You'll See:

  • Notification when accepted

  • User appears in team list

  • Can manage their access


Managing Existing Team Members

Team List View

Shows:

  • Team member name

  • Email address

  • Role/permission level

  • Sites they can access

  • Last login date

  • Status (Active, Pending, Inactive)

Actions:

  • Edit role

  • Change site access

  • Resend invitation (if pending)

  • Remove user

Changing User Permissions

To update a team member's role:

  1. Team Management → Find user

  2. Click "Edit" or user name

  3. Change role dropdown

  4. Select different sites (if needed)

  5. Save changes

  6. User's access updates immediately

Use Cases:

  • Promote editor to admin

  • Reduce admin to viewer (employee leaving)

  • Grant billing access to finance team

  • Restrict access to specific sites


Removing Team Members

When to Remove:

  • Employee leaves company

  • Contractor project complete

  • Access no longer needed

  • Security concerns

How to Remove:

  1. Team Management → Find user

  2. Click "Remove" or trash icon

  3. Confirm removal

  4. Access revoked immediately

What Happens:

  • User can no longer access dashboard

  • Active sessions terminated

  • Can be re-invited if needed

  • Audit trail preserved


Team Collaboration Best Practices

1. Assign Appropriate Roles

Don't Give Everyone Admin:

Marketing Team:
→ Editor role (configure widget, edit statements)

Developers:
→ Viewer role (see reports, not change settings)

Finance/Billing:
→ Billing Manager role (manage subscriptions only)

Executive/Owner:
→ Admin role (full control)


2. Use Specific Site Access

If team member only needs certain sites:

Example: Agency with 10 Clients

Sarah (Account Manager):
→ Access: ClientA, ClientB, ClientC only
→ Role: Editor
→ Can't see other 7 clientsTom (Developer):
→ Access: All 10 clients
→ Role: Viewer
→ Can see configurations, can't change

Benefits:

Multi-Organization Management

For Users in Multiple Organizations

If you belong to multiple companies:

Organization Switcher:

  • Top-right dropdown

  • Switch between organizations

  • Each has separate sites and team

  • No data mixing between orgs

Access Tracking:

  • Dashboard shows current organization

  • Sites list filtered to current org

  • Billing separate per organization

Use Case:

  • Work for multiple companies

  • Freelancer managing different clients

  • Partner accessing client accounts


Team Notifications

Configuring Team Alerts

Available Notifications:

  • Pageview limit warnings (80%, 90%, 100%)

  • Audit completion

  • Compliance score changes

  • Billing issues

  • Widget installation problems

Per Team Member:

  • Customize which notifications each person receives

  • Email, Slack, or both

  • Frequency preferences

Example:

Admin: All notifications
Editors: Audit completion, compliance changes
Viewers: Weekly summary only
Billing: Billing issues only

How Many Team Members?

Starter Plan ($10/month):

  • 1 user (account owner)

  • To add more: Upgrade or contact support

Growth Plan ($19/month):

  • Up to 3 users

Professional Add-Ons:

  • Custom enterprise: Unlimited users


Common Questions

Q: Can team members have different roles on different sites?
A: Yes! Sarah can be Admin on Site A and Viewer on Site B.

Q: Can I limit what team members can edit?
A: Role-based. Editors can edit most things. For granular permissions, contact support.

Q: Do team members need to pay?
A: No. Team member access included in your plan.

Q: Can clients access their own site dashboard?
A: Yes! Invite them as Viewer or Editor. Good for agencies giving client transparency.

Q: Can I see what team members changed?
A: Audit log available (Professional plan+). Shows who changed what and when.

Q: What if someone forgets their password?
A: They use "Forgot Password" on login. Or you can resend invitation.
