Overview

The Accommodation System gives your website a built-in way to receive, track, and respond to accessibility accommodation requests from visitors. When a visitor needs help β€” for example, a document in an alternate format, a phone call instead of a web form, or extra time on a process β€” they can submit a request directly through your accessibility widget. Those requests land in your AllAccessible dashboard, where you and your team can review, respond to, and resolve them in one place.

What the Accommodation System Does

Visitors submit accommodation requests through the accessibility widget on your site. Each request is captured in your dashboard so your team can:

  • See new requests as they arrive

  • Track each request through to resolution

  • Respond to the requester by email

  • Keep a running record of requests and responses

The goal is simple: give visitors a clear channel to ask for help, and give your team an organized workflow to respond.


Where to Find It

  1. Open the site (and subdomain) you want to manage

  2. In the top navigation for that site, click the Accommodations tab

This opens the Accommodation Requests page. When the add-on is active, you'll see a Pro Add-on Active badge near the page title.

Reading the Dashboard

Summary Cards

At the top of the Accommodation Requests page, you'll see summary cards:

  • Total Requests β€” all requests received for this site

  • Needs Attention β€” requests still awaiting your review

  • Active β€” requests currently being worked on

  • Completed β€” resolved requests, with a Success Rate percentage

Managing the List

Below the cards you'll find controls to work through your requests:

  • Manage Requests β€” open and work through the request list

  • Response Templates β€” reusable replies (shown as Upgrade for Templates if your plan doesn't include them yet)

  • Export Data β€” download your request records

  • Search Requests β€” find a specific request

  • Filter by Status β€” narrow the list (options include All Statuses, Pending, In Progress, and Active)


Request Statuses

Each request moves through a set of statuses:

  • Pending β€” newly received, awaiting your review

  • In Progress β€” you've started working on it

  • Active β€” currently being addressed

  • Closed β€” no further action needed

  • Resolved β€” completed successfully

On the dashboard, these roll up into the summary cards: pending requests appear under Needs Attention, in-progress and active requests under Active, and closed or resolved requests under Completed.


Actions You Can Take

Open a request to see its details and respond. Depending on the request, the available actions include:

  • Start Processing β€” begin working on a request

  • Approve Request / Deny Request β€” record your decision

  • Respond to Request / Send Response β€” reply to the requester

  • Email Requester β€” reach out directly

  • Save Draft β€” save a reply to finish later

  • Mark as Resolved β€” close out a completed request

  • Reopen Request β€” reopen a previously closed request

You can also act on several requests at once with Select All, Approve Selected, and Deny Selected.

When There Are No Requests Yet

If you haven't received any requests, you'll see a message titled No Accommodation Requests Yet, explaining that when visitors submit accommodation requests through your accessibility widget, they'll appear here for you to review and respond.


What You Need to Enable It

The Accommodation System is an add-on, purchased per site. It's available at three levels:

  • Starter β€” $49/month

  • Professional β€” $149/month

  • Enterprise β€” $399/month

An active subscription is required to add the accommodation add-on to a site. Because it's purchased per site, you can add it to as many sites as you like by enabling it on each one separately.

To add the add-on:

  1. Go to the Accommodations tab for the site you want to enable

  2. Follow the prompt to Add Add-on

  3. Choose the site and confirm

Frequently Asked Questions

Q: How do visitors submit a request?
A: Through your accessibility widget. When they submit, the request appears on your Accommodation Requests page.

Q: Can I add this to more than one site?
A: Yes. The add-on is purchased per site, so you enable it separately on each site you want to cover.

Q: Do I need an active subscription?
A: Yes. An active subscription is required before you can add the accommodation add-on to a site.

Q: Can I reply to a requester by email?
A: Yes. Open the request and use Respond to Request, Send Response, or Email Requester.
