πŸ“Š Important Distinctions

Deleting a Site vs. Deleting a Subdomain

Action

Effect

Delete a Subdomain

Removes one subdomain, keeps site active

Delete a Site

Removes entire site and ALL subdomains

πŸ’‘ Cannot delete last subdomain? If you have only one subdomain and want to remove everything, you must delete the site instead.

Deleting a Site vs. Cancelling Subscription

Action

What Happens

Delete Site

Immediate cancellation + 30-day data grace period

Cancel Subscription (via Stripe)

Subscription ends at period end, site remains accessible until then

πŸ’‘ Recommendation: If you want to stop paying but keep data accessible until your billing period ends, cancel through Stripe's billing portal instead of deleting the site.

πŸ‘₯ Who Can Delete Sites?

Only users with admin or owner permissions can delete sites.

Permission Check:

  • Log in to your dashboard

  • Go to Site Settings

  • Look for the "Danger Zone" section

  • If you don't see it, you don't have deletion permissions

⏰ 30-Day Grace Period (Soft Delete)

When you delete a site, it enters a 30-day grace period:

Timeline

Status

Day 0-30

Data is marked as deleted but still exists in our database

After 30 Days

All data is permanently and irreversibly removed

⚠️ During the Grace Period:

  • The site will not appear in your dashboard

  • The widget will not function on any subdomains

  • Your Stripe subscription is already cancelled (no refunds for unused time)

  • Data cannot be recovered through the dashboard interface

πŸ”„ To Recover During Grace Period:

  • Contact AllAccessible support at [email protected]

  • Provide your site URL and subscription details

  • Support can restore the site if within 30 days

  • You'll need to create a new Stripe subscription

βœ… Before You Delete: Checklist

Before deleting your site, consider:

  • ☐ Export Important Data - Contact support if you need audit reports or accommodation data

  • ☐ Remove Widget Code - Optionally remove the widget code from your website (not required)

  • ☐ Download Invoices - Save billing history from Stripe if needed

  • ☐ Notify Team Members - Let team members know the site is being removed

  • ☐ Check for Alternative - Consider downgrading plans instead of deleting

  • ☐ Cancel Through Stripe First - If you want to keep access until end of billing period

πŸ“‹ How to Delete a Site

Step 1: Navigate to Site Settings

  1. Log in to your AllAccessible dashboard

  2. Go to Sites in the main navigation

  3. Click on the site you want to delete

  4. Click Settings in the site navigation

Step 2: Scroll to the Danger Zone

At the bottom of the site settings page, you'll find the Danger Zone section with a red border and warning icon.

If you don't see the Danger Zone:

  • You don't have admin/owner permissions

  • Contact your organization administrator

Step 3: Click "Delete Site"

Click the red Delete Site button in the Danger Zone.

Step 4: Review the Deletion Warning Modal

A confirmation modal will appear with important information:

Warning Sections:

  1. Site name that will be deleted

  2. Grace period notice (30 days to recover)

  3. Critical Consequences list

  4. Stripe subscription warning (if applicable)

Step 5: Review Stripe Subscription Warning

If your site has an active Stripe subscription, you'll see a yellow warning box:

Stripe Subscription: Your Stripe subscription will be cancelled immediately. No refunds will be issued for unused subscription time.

Important: There are no partial refunds for unused time on your subscription.

Step 6: Type the Site URL to Confirm

To prevent accidental deletion, you must type the exact site URL as shown.

Example:

  • If deleting example.com, type: example.com

  • The URL must match exactly (case-sensitive)

Step 7: Check the Final Confirmation Checkbox

After typing the site URL, you must also check the final confirmation checkbox:

☐ I understand this action cannot be undone and all data will be permanently deleted after 30 days.

Step 8: Click "Yes, Delete This Site"

Once you've completed both confirmations:

  1. The delete button will become enabled (changes from gray to red)

  2. Click Yes, Delete This Site

  3. Wait for the confirmation message

Step 9: Verify Deletion

After successful deletion:

  • You'll see a green success message

  • You'll be redirected to your Sites list

  • The deleted site will no longer appear

πŸ’³ What Happens to Your Stripe Subscription

Immediate Cancellation

When you delete a site:

  1. AllAccessible sends cancellation to Stripe - Automated cancellation request

  2. Subscription status changes to "cancelled"

  3. No future charges - You will not be billed again

  4. No refunds - Unused subscription time is not refunded

If Stripe Cancellation Fails

In rare cases, the automated Stripe cancellation may fail:

  • Site is still deleted - The site deletion proceeds regardless

  • Manual cancellation needed - You may need to cancel through Stripe's billing portal

  • Contact support - We'll verify and ensure the subscription is cancelled

❓ Common Questions

Q: Can I get a refund for unused subscription time?

A: No, there are no refunds for unused time. The subscription is cancelled immediately, but you are not refunded for the remaining days in your billing period.

Q: What if I want to stop billing but keep my data until the end of my billing period?

A: Cancel your subscription through Stripe's billing portal instead of deleting the site. This keeps your site active until the end of your current billing period.

Q: Will deleting my site affect my other sites?

A: No. If you have multiple sites, deleting one does not affect the others. Each site operates independently.

Q: What if I accidentally deleted the wrong site?

A: Contact [email protected] immediately. If within 30 days, we can restore the site and all its data. You'll need to recreate the Stripe subscription.

πŸ”§ Troubleshooting

Issue: "Only administrators can delete sites" Error

Solution:

  • You need admin or owner permissions

  • Contact your organization administrator to request elevated permissions or have them perform the deletion
